Know your HMRC online services details

The deadline for submitting employees' benefits for the year 2009/10 is looming, benefits and expenses for the year ended 5 April 2010, are due for submission to HMRC by 6 July 2010. The process of gathering the necessary information can take some time, so it is important that this process is not left to the last minute.

Although the process of benefits submissions through GTax can literally take a few minutes, we would like to remind our customers to ensure their HMRC online services' details are up to date and entered correctly, we have been contacted by a few customers receiving authentication errors when trying to submit their benefits, most of the time this can be caused by entering incorrect information in the “Tax District Number” and “Account Office Reference” boxes in your Online Filing settings.

To fill the Accounts Office reference you should find the 13 character number on the yellow PAYE Payslip booklet supplied by HM Revenue & Customs, in the format of 123PA12345 or 123PA00045678 (three numbers, two letters, eight numbers).


Example: If the Accounts Office reference on the PAYE Payslip booklet is 670PA78692 (or 670/PA78692) then you should put 670 in “Tax District Number” box and PA78692 in the “Account Office Reference” box when setting the "Online filing" details in your account at GTax.

You will also notice that we have revamped the online filing screen to make it easier and faster to enter your Accounts Office and authentication details. the Tax District screen is now integrated within the online filing one to give you a better insight of your online services details in a single view.

Data roll forward for the 2010/11 financial year

We are pleased to announce the availability of the new "Roll Forward" tool in your account, this new option will allow you to bring existing 2009/10 data to the new 2010/11 financial year.

Roll Forward Options:



  • Roll companies/employees data only
    This simply will copy existing companies, departments and employees to the new year while ignoring any assigned benefits.

  • Roll companies/employees with their benefits data
    • Roll benefits as they are (No amendment to payments, dates... etc.): this options is suitable for customers who would like to review all benefits assigned to employees in the new year, dates, payments and milege (Company Car) details are copied as they are from the previous year with no changes.

    • Roll benefits with value amendments: This has two further options to control amendment to benefits details:

      • Do not include payment or mileage details: Will simply copy all benefits but will ignore payment and milege details, this option doesn't affect dates and car details.

      • Only roll Company Car benefits that have no end date specified or the end date falls into the current year: This is specific to Company Car benefits, ones that have end date specified (i.e. from: 06/04/2009 to: 05/04/2010) will indicate that benefit is no longer valid for the current year and therefore will not be included in the roll forwrad, where if the end date is not specified or falls into the current year it will indicate validity of the benefit and as a result will be included when rolling your data.

That's why from a technology perspective, we have made speed, simplicity and ease-of-use a top priority, the new roll forward procedure can be performed in a few clicks where you only need to specify how benefits are brought forward to the new year.

Integrating GTax with Google Apps Marketplace

The Google Apps Marketplace makes it easy for more than 2 million companies using Google Apps to discover, purchase and deploy integrated cloud applications and related professional services to over 25 million users. By integrating with user account and application data stored in Google Apps, these cloud applications provide a simpler user experience, increase business efficiency, and reduce administrative overhead.

We have worked in the last few weeks to enable you to add GTax Employee Management to your Google Apps account as an installable application. Installable apps are easy to use because they include single sign-on and Google's universal navigation.

If you are a Google Apps user then you don't need to go through the registration process, you only need to click on the new "Sign in here" link in the Google Apps User box and enter your domain name, Google's single sign-on process will take you through providing your existing credentials then instantly allows you to add your employees and benefits details, alternatively you can add the GTax Employee Management listed in the Google Apps Marketplace to your Google Apps account.

Introducing dashboard and the import tool

For the last few weeks we have been testing a new tool to allow you to import data from external resources, we are pleased to make this tool available to all accounts to import companies, employees and benefits to GTax.


The import tool is located on a newly designed dashboard that shows account-related information, such as security, statistics and financial year selection, we have decided that this page should be shown first when you log in to your account to give you a quick overview of your account data and processing status.

Initially the import tool allows you to import from Excel and CSV data formats, the import wizard will walk you through specifying file name, fields mapping, department allocation and benefits import options.

GTax Employee Management now available to the public

We are pleased to announce that GTax Employee Management is now out of the invitation-only status and is available for public registration.

While the service has been provided to only certain companies who deal with employees benefits matters such as P11D, P9D and P46 (Car) benefits, we have worked hard in the last two years to bring most of their feedback into production, from import and export to employee and user collaboration features.

Leveraging the changing trends in technology and web design that aim to enhance creativity, communications, secure information sharing, collaboration and functionality of the web, these features are at the heart of GTax, it is no wonder that it is better and easier now working on some web based services than desktop ones, this was not the case few years ago.
